What’s included in the AV package?

  • Some providers nickel and dime everything, so it’s important to know what you’re getting. A written scope of work from your vendor is often better for figuring out whether you have everything covered or not versus a list of gear, especially if you’re not fluent in AV. Then, make sure this scope aligns with your needs.

Have you worked in this venue before?

  • If not, a site visit is a must

Is this a Union venue?

  • Union venues have different rules than non-union venues and are usually more costly, especially when you don’t account for it up front.

What backup systems do you have in place?

  • When things go wrong, what’s the backup plan? If you’re not thinking about this beforehand, you’re putting your event at risk.

How will sound coverage be handled for my audience size?

  • No one should struggle to hear. Whether they’re in the front row or the back, the audio system should deliver a consistent volume.

Will you have a dedicated on-site tech team?

  • Not all companies are full-service. Make sure you know what event staff you’re hiring before you show up on site.

Who’s handling speaker presentations and video playback?

  • Sometimes clients and presenters prefer to run their own content, other times they don’t. Make sure to clarify this beforehand.

How does my event schedule affect the cost?

  • Corporate event planners often don’t consider how an event schedule may affect the cost of their AV budget until the schedule has already been solidified, but a less than ideal schedule can have a huge impact on the cost of the AV.

  • Every venue has its quirks. Make sure your corporate AV provider is familiar with the specifics.

Power capability

  • What type of power is available? Is there enough power available in the venue to do what you need to do, or will you need more? Can you bring more or do we need to adjust the scope?

Ceiling height and rigging capabilities

  • Does your event require audio, lighting, projectors, or screens to be flown? If so, are there any rigging points? If so, are they in the right locations? What is the cost?

Venue acoustics

  • Some venues have terrible room acoustics and just sound awful. Your AV team should plan accordingly.

WiFi and streaming capabilities

  • Especially critical for hybrid corporate events or live streaming.

On-site AV support

  • A dedicated event production company team to handle setup, operation, and tear-down.

Rehearsals & soundchecks

  • Never assume everything will “just work.” Run through the show with speakers and presenters.

  • Ensure all transitions, lighting changes, and audio cues are dialed in with the tech team (note- this is usually done before rehearsals with talent so you have all your ducks in a row before they show up).

  • If your event runs late, expect additional labor costs. Clarify what these charges are before they occur.

Last-minute requests

  • Rush orders on equipment can cost a premium.

Venue restrictions

  • Some venues require you to use in-house AV (which can be pricier and lower quality). Know your options.

Power and internet fees

  • Many venues charge extra for dedicated power circuits or high-speed internet access.

Recording and archiving

  • Does the event need to be recorded? If so, what is the purpose of those recordings? Make sure your vendor knows this, as the approach (and cost) for capturing these recordings will change depending on the intended use.
